Use your Client Manager credentials to sign in. If you are new, register an account and confirm it from the email you receive — accounts must be confirmed before they can be used. If you have forgotten your password, use the password reset link on the login page. Once signed in you land directly on your client list, and you can change your password at any time from Change Password in the top navigation.
From the client list, click Add Client. Company name, contact name, email, and website are required; the email must be unique, so if a client already exists with that address you will be told rather than creating a duplicate. Everything else is optional:
New clients start as Active and not yet onboarded. To correct a detail later, open the client and click Edit.
The buttons above the client list switch between views:
| All Clients | Every active (non-archived) client. |
| Archived Clients | Clients you have archived. They stay searchable and exportable. |
| Onboarded Clients | Clients marked as onboarded — these are the ones the drip campaign emails. |
| Search | Free-text search across company name, contact name, email, website, and notes, narrowed by industry, client type, status, and tags. |
| Export |
Downloads every client as clients_export.csv, including
archived ones.

Each row also carries toggles for Onboarded, GBP Created (Google Business Profile), and Archive. These save immediately — there is no separate save step.
Onboarding is what starts a client's email sequence. Open the client and click Onboard, then upload their SEO audit. Note:
On submit, Client Manager will:
Re-onboarding an existing client restarts the sequence from the first email, so use the row toggle instead if you only want to change the onboarded flag without sending anything.
Clicking a client opens their dashboard, which summarises the account at a glance: total tasks, completed tasks and completion rate, active project count, and total logged communications. Below the metrics is a recent activity timeline — the five newest tasks, five newest communications, and three newest projects. From here you can reach that client's full task, project, and communication lists.
Each client has three linked records:
Tasks — a title, description, priority (low, medium, high, urgent), optional due date, and tags. Tasks start as pending and move through in progress, completed, or cancelled.
Projects — a name, description, priority, start and end dates, budget, and project type (SEO, PPC, social media, content, and so on). Projects start in planning and move through active, on hold, completed, or cancelled, with a progress percentage.
Communications — a log of contact with the client. Record the type (email, SMS, call, meeting, or note), the direction (inbound or outbound), a subject, and the content. This is a manual record of what was said; it does not send anything.
The campaign runs automatically every Thursday at 10:00. On each run it looks at every onboarded client, sends the next email in their personal sequence, and advances their position by one. Clients therefore progress independently — someone onboarded last month is further along than someone onboarded yesterday.
The sequence is ten emails, numbered 0 through 9. Once a client has received all ten, they are skipped on subsequent runs and receive nothing further. Each email goes out in both HTML and plain text, is signed with DKIM for deliverability, and carries the client's latest SEO audit as an attachment. After every run, a summary of which clients were emailed and where they are in the sequence is sent to the administrator.
To take a client out of the campaign, turn off their Onboarded toggle. Note that archiving a client on its own does not stop their emails — the campaign selects clients by the onboarded flag alone, so an archived client who is still marked onboarded will keep receiving the sequence.
